Inclement Weather/ Environmental Cancellation Policy for Outdoor Programs
The City reserves the right to cancel and/or postpone programs due to inclement weather, poor air quality or other possible health and safety concerns for all programs held in City facilities and on City properties. This includes all programs and user groups. Cancellations and/or postponements are at the discretion of the City and will be in accordance to specific program guidelines. Inclement weather includes, but is not limited to, extreme heat, rain, snow, excessive winds, poor air quality, lightning and other unforeseen circumstances. If a City program is canceled, pro-rated refunds and/or credits will be issued only for the date that has been canceled. City staff will make every effort to notify participants/guardians as soon as possible when cancellations and/or postponements are made. Indoor programs will not allow for outdoor recess and/or outdoor activities in cases of inclement weather, poor air quality or other possible safety concerns.

How do you determine when to postpone and/or cancel a session?
- Cancellations and/or postponements are considered when outdoor activities may be impacted due to inclement weather or other environmental factors. When the air quality is not “normal”, we check the Air Quality Index or AQI at www.airnow.gov to identify Vacaville’s current range.
- If Vacaville is listed in the range of “unhealthy for sensitive groups” or has an AQI between 101 and 150, specific precautions should be exercised such as limiting strenuous exercises and monitoring participants.
- If Vacaville is listed as “unhealthy”, has an AQI over 150 or if weather conditions are determined to be unsafe, programs might be canceled. Signs will be posted, where possible.
What do the AQI number ranges mean?
- The Air Quality Index or AQI can be found at www.airnow.gov.
- The Air Quality Index ranges from 0 to 500. The higher the AQI value, the greater the level of air pollution and the greater the health concern. For example, an AQI value of 50 or below represents good air quality, while an AQI value over 300 represents hazardous air quality. See the chart below for more information.
How much notice will be given to participants when a class is canceled/postponed?
- Participants will be notified as soon as possible if a class is going to be canceled or postponed. When possible, 3-4 hour notice will be given by phone call, email, or other social media outlets.
Will refunds and/or credits be issued for postponed sessions?
- A make-up date will be scheduled for any interrupted class, however if you are unable to attend, or the program is cancelled, a refund or credit will be issued.
What if myself or a family member is in the “sensitive” group and can’t attend due to health concerns?
- If a program runs during a time identified as “unhealthy for sensitive groups” and you can not attend due to health concerns, you may be issued a pro-rated refund for the missed date(s).
TGIF Guidelines for the 2021/2022 School Year
What are the program’s prices? Can I make payments?
- Monthly session prices are based on the total hours of care in a given month. A one-time, non-refundable initial registration fee of $55 is due at the first registration. Payment plans are possible with a deposit being required at the time of registration.
Are you allowing drop-in hours at sites this year? What about the balance of drop-in hours that we still have?
- No – well at least not yet. Current staffing levels do not allow for the drop-in option at this stage. Drop-in hours will be rolled over from previous school years and will remain as a balance with the account holder, but may not be used at the program until further notice.
If I would like more information about TGIF, where can I get it?
- The parent handbook is attached to each Initial Registration or it can be emailed to each family if needed. Families can also contact the TGIF office at (707) 449-5616 to get additional information or visit the TGIF webpage here.
Day Camp Guidelines 2022
What food will be provided/do I need to provide for my child to eat and drink?
- All participants should come to program with a pre-filled water bottle every day. Staff will refill water bottles throughout the day as needed.
- Every child staying in a program through lunch hour must bring their own meal. Camps that provide snacks will use pre-packed foods and disposable utensils. Absolutely no peanuts or tree nuts.

How do I create a CivicRec account?
To create a new account on the Vacaville Parks and Recreation Department's online registration system:
- Follow the link to CivicRec
- Click the "Log in/Create Account".
- Fill out the information and create your login and password.
To add additional family members, click the "Add New Account Member" and fill out their information. Don't want to add members now? Don't worry; it's easy to add them later.
Now you are ready to register for classes, events, and programs from your smartphone, tablet, or computer!
How do I find a class in CivicRec?
- You can search for classes using the tabs at the top of the page. This will bring up all available classes in specific program areas, such as Aquatics, Cultural Arts, etc.
- You can also search for activities by typing the class name or activity code in the search box for quick and easy results.
How do I register for classes?
To register for classes on the Vacaville Parks and Recreation Department's online registration system:
- Type the activity code or name of the class in the search bar, and options for that class will be filtered.
- Click on the specific class and time you are interested in.
- A drop-down will open up with class details, including a list of all the members in your account.
- Click the square next to the account member(s) you would like to register.
- If the member is not already associated with your account, click "Add Account Member" and fill out their information.
- Select the green "Add to Cart" button.
Now you are ready to register for classes, events, and programs from your smartphone, tablet, or computer!
